Job Summary
The Facilities Officer is responsible for managing and sustaining the company’s physical workspaces, guaranteeing a secure, operational, and productive setting for all employees.
They oversee daily building operations, orchestrate maintenance and repairs, cultivate vendor relationships, and verify adherence to health and safety standards.
Oversee and execute the primary duties associated with this role, ensuring alignment with organizational objectives and operational standards. Deliver key functions by managing critical tasks, maintaining high performance in all assigned responsibilities, and contributing to the overall efficiency and productivity of the team. Address core obligations through strategic planning, meticulous execution, and continuous evaluation to meet established goals and deliver measurable results.
Plan and coordinate both preventive and corrective maintenance programs for plumbing, electrical, HVAC, and structural systems to ensure optimal functionality and minimize downtime. Execute these schedules with precision to uphold operational efficiency across all building systems.
As the main liaison for tenant work orders, you will handle complaints and maintain an environment conducive to occupant satisfaction and well-being.
Vendor Management: Responsible for sourcing, negotiating with, and overseeing the performance of external contractors, cleaners, security personnel, and utility providers.
Conducting routine property inspections is essential to ensure adherence to all local safety codes, fire regulations, and emergency preparedness standards.
The role involves financial and budgetary responsibilities, including forecasting maintenance expenses, monitoring operational costs, overseeing service charge budgets, and compiling periodic financial reports.
The measurable metrics used to evaluate the effectiveness and progress of the role, encompassing critical success factors such as productivity, efficiency, quality standards, and adherence to timelines, will serve as the foundation for performance assessments. These indicators will provide clear benchmarks to track contributions, ensuring alignment with organizational objectives and facilitating data-driven decision-making throughout the evaluation process.
Uptime of Utilities: Maintaining continuous availability of power, water, and elevator services.
Response Time: Ensuring tenant complaints and maintenance tickets are addressed and resolved promptly in accordance with established service level agreements (SLAs).
Ensure all facility maintenance activities remain within the approved budget parameters while upholding the highest standards of quality.
Ensuring compliance and conducting audits to achieve zero regulatory penalties while maintaining high safety ratings.
