RESPONSIBILITIES
Project Planning & Initiation
Define project objectives, scope, and deliverables in collaboration with stakeholders.
Develop comprehensive project plans, including timelines, resource allocation, and risk assessment.
Identify project dependencies and critical milestones.
Establish clear success criteria for project deliverables.
Project Execution & Monitoring
Coordinate internal resources and third-party vendors for flawless project execution.
Track project progress, ensuring deadlines are met without compromising quality.
Manage project budgets, ensuring optimal resource utilization.
Conduct regular status meetings with stakeholders to provide progress updates.
Identify and mitigate project risks, escalating issues where necessary.
Ensure all documentation, including project charters, risk registers, and reports, are updated regularly.
Stakeholder Management
Act as the primary point of contact for all project-related communications.
Engage with internal departments, clients, and external vendors to ensure alignment on project objectives.
Maintain transparent communication channels for progress reporting and issue resolution.
Team Coordination:
Lead and collaborate with internal teams, stakeholders, and clients to ensure all project activities are completed efficiently.
Risk Management:
Identify potential project risks and issues and develop strategies to mitigate project related risk and issues
Develop contingency plans and proactively resolve issues before they impact project timelines or quality
Provide regular updates to stakeholders on the status of risk management efforts.
Budget & Resource Management:
Ensure projects are delivered within budget and efficient/effective utilization of resources
Track project costs and adjust as necessary to stay within financial constraints.
Report on budget variances and take corrective actions where necessary.
Quality Assurance & Compliance
Ensure project deliverables meet defined quality standards and customer expectations.
Enforce compliance with company policies, industry standards, and regulatory requirements.
Monitor project performance and ensure deliverables meet the defined quality standards and members’ expectations.
Collect feedback and ensure continuous improvement in future projects.
Post-Implementation Review
Conduct post-project reviews to identify lessons learned and areas for improvement.
Document and archive project insights to support future initiatives.
Prepare and present detailed project reports for management review.
Project Documentation:
Maintain accurate project documentation, including project plans, status reports, meeting notes, and post-project evaluations.
Draft post-project reports analyzing successes, challenges, and areas for improvement.
Timeline Management:
Establish project timelines and ensure milestones are met.
Track progress and address delays or bottlenecks promptly
Process Improvement:
Continuously assess and refine project management processes to enhance efficiency and quality across all projects.
Key Performance Indicators (KPIs)
Project delivery within scope, time, and budget.
Stakeholder satisfaction and engagement levels.
Number of successfully closed projects.
Effective risk mitigation strategies.
Documentation accuracy and completeness.
QUALIFICATION, EXPERIENCE AND SKILLS
Bachelor’s degree in Business Administration, Project Management, or a related field. PMP or other project management certifications are a plus.
PMP, PRINCE2, or Agile certification preferred.
Minimum of 7 years’ experience managing complex projects, ideally within the travel, tourism, or e-commerce industry.
Demonstrated experience working with cross-functional teams in a fast-paced environment.
Certifications: PMP, Scrum Master, or other relevant certifications preferred.
Leadership: Demonstrates strong leadership skills, providing guidance and motivation to project teams
Excellent verbal and written communication skills.
Proficiency in project management software (e.g., Microsoft Project, Jira, Asana, etc.).
Ability to manage multiple projects simultaneously.
