REPORTS TO: Chief Technical Officer
JOB SUMMARY
The Project Coordinator supports the project manager and ensures the smooth execution of projects. This role involves coordinating project activities, maintaining documentation, and facilitating communication among project team members to deliver high-quality solutions on time and within budget.
GENERAL DESCRIPTION
Working with customers’ business, technical teams, and MAXUT staff to properly articulate the requirements for new projects, and define project goals, scope, milestones, deliverables, and resources.
Interfacing with internal and external project teams responsible for a project to ensure that appropriate work breakdown and timelines are agreed upon for deliverables.
Monitoring and tracking project milestones to ensure it’s on track and highlighting risks and issues when they arise.
Creating appropriate documentation and best practice project management tools and artifacts to support and accomplish project management goals efficiently. These shall include but are not limited to project statement of work, project plans & schedules, work breakdown structures, summary reports, sign-off sheets, etc.
Providing regular reports and updates to senior management and other stakeholders on the status of assigned projects.
Enhancing project management function and its effectiveness at MAXUT through innovative processes, tools, and techniques as a foundation for developing a Project Management Office (PMO) as the need arises
Scheduling: Coordinate and schedule project meetings, sprint planning sessions, daily stand-ups, and other project-related events. Prepare agendas and take meeting minutes.
Resource Coordination: Assist in the allocation and coordination of project resources, including developers, testers, and other team members. Ensure team members have the necessary tools and information to complete their tasks.
Project Support: Assist project managers in planning and executing software development projects. Maintain project schedules, track progress, and ensure milestones are met
Budget Tracking: Monitor project budgets and expenditures, report any variances, and assist in budget preparation. Help ensure the project remains within the approved budget.
EDUCATIONAL QUALIFICATION/WORK EXPERIENCE
Education: Bachelor’s degree in computer science, software engineering, business administration, project management, or a related field.
Experience: At least 3-5 years of experience in project coordination or a similar role within the software development industry.
SKILL/ COMPETENCY REQUIRED
Strong organizational and time management skills
Excellent written and verbal communication skills
Proficiency in project management software (e.g., JIRA, Trello, Asana)
Basic understanding of software development life cycle (SDLC) and Agile methodologies
Ability to work well in a team environment and collaborate with others
Detail-oriented with strong problem-solving abilities
Ability to handle multiple tasks simultaneously and prioritize effectively
