Project Coordinator (Human Resource)

Based in Lagos, this role will coordinate the recruitment administration, on boarding, relocation and training of new employees. The Project Cooordinator will work very closely with UK Africa Project Team, HR, Recruitment as well as the Africa Editorial Leads.

Main Duties Recruitment Administration:

Working closely with the recruitment team (based in London) the Project Coordinator, Lagos will be responsible for all aspects of the recruitment process which must be coordinated locally.

This may include but is not limited to:

Coordinating with local employment agencies and job boards for placement of advertisements. Advise on strategies to best attract candidates within the local market
Ensuring managers are aware of recruitment timescales in order to hold time for shortlisting and interviewing
Facilitating recruitment assessments and tests where required
Coordinating and arranging interviews, act as the local contact for candidates coming for interviews
Issuing offer letters and where required, assisting candidates to understand the full BBC offer, including company benefits
Ensuring contracts are created, printed, handed over and signed versions filed
Oversight of visa application process for new hires
Assisting with background/reference checks
Managing appropriate and compliant documentation of records

Human Resource Administration:

New Hires: New employee set-up (workstation requirements, system data entry, documentation); orientation with Manager – Benefits & Payroll
Relocation: Manage employee relocation within Nigeria in line with the agreed BBC policy Terminations/Resignations; Termination documentation (including termination letter; any benefits requirements; record of employment, if applicable)
Joiners/Movers/Leavers (JML): Liaising with divisional managers and IB team to ensure the full JML process is completed for each employee
Coordinating the logistics for inductions and training events where required liaising with the BBC Academy, IB team, HR and divisional managers
Ensuring a tracker is created to easily manage renewal of staff contracts
Ensuring probation periods are managed, effectively notifying managers in advance when probation periods are coming to an end and issuing any relevant paperwork
Ensuring contracts for any outside contributors/ contractor/freelancer/ stringer engaged are legally compliant with the local laws (liaising with HR) and that they are aware of the BBC Editorial Guidelines
Ensuring all contributors’ contracts are renewed as appropriate
Maintaining records for each outside contributor/ contractor/freelancer/ stringer

Others:

Ensuring records on the BBC’s HR Information System (SAP) are up to date for all W2020 funded staff
Issuing official letters such as salary increments, attachments, experience and comfort letters etc.
Ensuring all new staff leave is managed and recorded
Ensuring all new employee mandatory training is completed and appropriately recorded
Any other ad hoc support required.

Essential Knowledge, Skills and Experience

Demonstrable HR generalist and/or recruitment background, with experience supporting a growing office
Relevant professional qualification such as those provided by the Chartered Institute of Personnel Management of Nigeria or equivalent
Proven experience in managing several small projects at the same time
Excellent knowledge of English including complete comprehension of written and spoken English and the ability to manage remote communication effectively
The role interacts with several parties, and as such we require you to have a positive demeanour and the confidence to interact face-to-face/on the phone with internal and external stakeholders
Ability to plan and organise time and resources effectively and to manage projects to conclusion according to deadlines
Excellent technology skills with good knowledge of MS Office (Word, Excel and Outlook)
Ability to work flexibly and diplomatically
Fluency in Yoruba, Igbo and/or Pidgin would be desirable
