DIVISION / DEPARTMENT / LOCATION: National / West Africa/ Nigeria Country Programme – Abuja, NigeriaJOB FAMILY: ProgrammeLEVEL: E2OXFAM PURPOSE:To work with others to find lasting solutions to poverty and suffering.JOB PURPOSE:The mission of the Programme Assistant will be to support, in general the implementation of Oxfam Nigeria Resilience, Advocacy and campaign programmes and manage resources and processes in support of the Nigeria programme.REPORTING LINES:Post holder reports to: Research Policy & Advocacy CoordinatorStaff reporting to this post: NilBUDGET RESPONSIBILITY: As agreed in line with programme componentKEY RESPONSIBILITIES:· Support timely and accurate donor reporting, both narrative and financial in line with Oxfam’s monitoring system.· Maintain donor reporting systems and ensure that assigned projects remain compliant with donor contracts.· Review financial reports and ensure spending is in line with work plans, approved budgets and team income and expenditure forecasts.· Monitoring income and expenditure for assigned projects· Coordinating effective communication with project lead in support of the above· Management, including screening and collecting of programme/ projects documentation, projects data entering, preparation of revisions, filing, and provision of information.· Ensure increased visibility and strengthening of Oxfam in Nigeria profile through digital mobilization and engagements and deliver digital media campaign report to the line manager· Researching and developing contents for campaign materials, print, video and digital media publications, newsletters, blogs, bulletins and case studies.· Support the media and communications officer in developing layouts for Oxfam’s publications, newsletters and other advocacy materials· Work together with Programme/MEL Officers to develop Info-graphics of key Oxfam programme outcomes and research findings for a diverse audience.· Maintaining and regularly updating relevant up-to-date programme information on Oxfam Nigeria websites and on SUMUS· Support the Research Policy & Advocacy Coordinator in initiating and organising advocacy visits and follow up on actions from such visits.· Support coordination and monitoring of the team’s strategic operational plan on a monthly basis· Monitor the team’s key performance indicators· Provide general administrative tasks for the Programme Team, including organising team meetings and taking of minutes.· Act as the lead, with support from the Programme leads, on the coordination of fund transfers to partners.· Act as focal point for the finance team on the coordination of day to day financial operations relevant to Programmes.· Support the programme leads on the monitoring of monthly organisational management accounts and forecasting.· Coordinate the dissemination of the Oxfam Nigeria’s achievement and outcomes internally and externally among donors, partners and allies for increased learning and sharing of best practices.· Support program officers in workshop/meeting organizations and meeting report writing· To perform any other duties that may be assigned by line managerSKILLS AND COMPETENCE:Job Specific CompetenciesEssential At least a university degree, preferably an advanced degree in social science, development studies, agric economics or law.· A minimum of two years experience in area of work· Subscribes to Oxfam’s values, mission, goals, etc.· Good understanding and practical experience in application of equality issues (social inclusion)· Good understanding of NGO policy/advocacy work in the context of development· Ability and willingness to travel extensively, as part of work· Good IT skills especially in Microsoft Office packages· Excellent social media skills· Good graphics design skills· Experience and ability in taking good pictures· Experience in using publishing and layout software (like Adobe Indesign and MS Publisher) and photo software (like Adobe Photoshop)· Good knowledge of website/content management system· Able to complete projects to a high standard with minimum supervisionBehavioural Competencies· Ability to take charge and provide leadership· Conceptual Thinking and analysis· Ability to Achieve Results· Communication Skills· Ability to Support Others· Good organisational skill · Ability to prioritize and manage multiple workload· Ability to work in a cross cultural setting and respect & respect individuals opinions
