Personal Assistant to the Group Managing Director

About the Role

We are looking for a sound, dynamic and highly organized Personal Assistant to support our Group Managing Director (GMD), who is a civil engineer with extensive project management experience.
The successful candidate will have a civil engineering background with a Masters in Engineering Management,strong analytical skills, and a professional project management certification, such as PMP or PRINCE2.
This is a unique opportunity for a driven individual to work closely with the GMD in a fast-paced and results-oriented environment.

Key Responsibilities

Provide executive support to the GMD, managing schedules, coordinating meetings, and organizing travel arrangements.
Prepare and analyse project reports, data insights, and presentations for the GMD to facilitate strategic decision-making.
Oversee project timelines, track key milestones, and assist in the management of project budgets and deliverables.
Collaborate with project teams to gather and organize data, ensuring accurate reporting and analysis.
Manage the GMD’s correspondence, including drafting emails, reports, and documents, while handling sensitive information with utmost confidentiality.
Act as the primary point of contact between the GMD and internal/external stakeholders, ensuring smooth communication and follow-up on critical tasks.
Conduct research to support project planning and execution, providing data-driven recommendations.
Coordinate project meetings, prepare agendas, take minutes, and follow up on action items.
Support the GMD in strategic planning and organizational initiatives.

Qualifications and Skills

Bachelor’s Degree in Civil Engineering
Minimum of 5 years experience in a PA role or similar, preferably within the civil engineering or construction sector.
Excellent data analysis skills, with proficiency in tools such as SPSS, Power BI, or similar platforms.
Professional project management certification (PMP or Prince 2) required. Professional engineering certification/license is advantageous.
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and construction/project management software.
Excellent written and verbal communication skills, with the ability to produce high-quality reports and presentations.
High level of discretion and professionalism in handling confidential and sensitive information.
Ability to work proactively, prioritize tasks, and thrive in a fast-paced environment.
Strong project management experience, with a proven ability to track and manage multiple projects simultaneously.
Exceptional organizational and time-management skills, with meticulous attention to detail.
