Reports directly to the Chief Operating Officer (COO), serving as a key member of the executive leadership team. This role is responsible for overseeing critical operational functions, ensuring alignment with strategic objectives, and driving performance improvements across the organization. The position requires a results-driven professional with extensive experience in operational management, leadership, and cross-functional collaboration. Key responsibilities include developing and implementing operational policies, optimizing processes, managing budgets, and fostering a culture of accountability and innovation. The ideal candidate must possess strong analytical skills, exceptional problem-solving abilities, and a proven track record of delivering measurable results in a fast-paced environment.

Oversee a range of critical responsibilities encompassing strategic planning, team leadership, and operational execution to drive organizational success. Collaborate with cross-functional departments to align objectives, streamline processes, and foster innovation. Develop and implement policies, procedures, and performance metrics to ensure efficiency, compliance, and continuous improvement. Lead project initiatives from inception to completion, managing resources, timelines, and budgets while mitigating risks. Monitor industry trends and competitive landscapes to identify opportunities for growth and differentiation. Serve as a key liaison between senior leadership and operational teams, facilitating transparent communication and decision-making. This role involves verifying booking details, managing updates, and coordinating with healthcare providers to confirm appointments. Strong attention to detail and proficiency in scheduling software are necessary to maintain efficient operations and provide excellent patient service.

Ensuring that physicians commence appointments promptly represents a critical operational responsibility, aimed at optimizing clinic efficiency and enhancing patient satisfaction. This role involves monitoring schedules, addressing potential delays, and coordinating with medical staff to maintain timely appointment initiation. Additionally, it may include addressing unforeseen issues that could disrupt the scheduled timeline, thereby safeguarding the overall workflow and quality of care delivered.

Assisting patients in resolving any challenges they encounter during the scheduling or completion of their appointments.

Efficiently and promptly reschedule appointments as required, prioritizing minimal disruption to both patient and physician schedules.

Respond promptly and professionally to patient inquiries submitted via various communication channels, including phone, email, and Crisp, ensuring their needs or concerns are addressed efficiently.

Overseeing the scheduling of physicians’ appointments and commitments involves coordinating appointment times, ensuring adequate coverage, and maintaining an organized calendar to optimize patient access and operational efficiency.

Prepare monthly reports detailing appointment bookings, physician schedules, patient feedback, and operational performance metrics for review and analysis.

In this position, you will drive innovation to enhance patient and physician experiences by streamlining processes and improving operational efficiency.

Seeking candidates with a Bachelor’s degree in Computer Science, Engineering, or a related field, along with a strong foundation in programming languages such as Python, Java, or C++. Prior experience in software development, data analysis, or a comparable technical role is essential.

A bachelor’s degree in healthcare administration, business management, or a comparable discipline is strongly preferred.

Seeking candidates with a minimum of three years of hands-on experience in a client-facing position, ideally within a medical or healthcare setting.

Applicants with prior experience utilizing customer relationship management systems, scheduling software, or telemedicine solutions will be viewed favorably.
