Job Description

We are seeking an organized, proactive, and detail-oriented Secretary to join our esteemed law firm. The ideal candidate will provide administrative support to attorneys, maintain office efficiency, and assist in ensuring the smooth operation of day-to-day tasks.

Key Responsibilities

Manage attorneys’ schedules, appointments, and meetings.
Draft, proofread, and format legal documents, correspondence, and reports.
Handle sensitive and confidential information with discretion.
Serve as the first point of contact for clients via phone, email, and in person.
Relay messages and correspondence promptly to the appropriate personnel
File, organize, and maintain legal documents and case files.
Coordinate the delivery and receipt of legal documents.
Monitor deadlines and ensure timely submission of filings.
Order office supplies and maintain inventory.
Assist in preparing materials for meetings, presentations, and court filings.
Collaborate with other staff members to support the smooth functioning of the office.
Operate office equipment, including computers, scanners, and copiers.
Utilize legal management software for case tracking and document retrieval.

Job Requirements

HND/ BSc /MSc. in Office Administration or a related field.
Prior experience as a personal assistant and having worked in a busy law firm is advantageous.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities.
Familiarity with legal terminology and procedures is a plus.
Ability to work under pressure and meet tight deadlines.
High level of professionalism and confidentiality.
