Intern – Personal Assistant Intern Library Assistant

Duties

Attending events/meetings as the director’s representative,
Active involvement in the decision-making processes.
Carrying out background research and presenting findings;
Dealing with incoming email, faxes and post, often corresponding on behalf of the director;
Delegating work in the director’s absence
Deputizing for the director, making decisions and delegating work to others in the director’s absence;
Devising and maintaining office systems, including data management and filing;
Liaising with clients, suppliers and other staff.
Managing the director’s budget.
Managing the director’s electronic diary,
Meeting and greeting visitors at all levels of seniority;
Organizing and attending meetings and ensuring the director is well prepared for meetings;
Organizing and maintaining diaries (electronic and manual) and making appointments;
Organizing and arranging complex travel itineraries and occasionally, traveling with the director to take notes or dictation at meetings or to provide general assistance during presentations;
Planning, organizing and managing projects and events,
Preparing correspondence on your boss’s behalf
Producing documents, writing reports, briefing papers, reports and presentations;
Screening phone calls, inquiries and requests, and handling them when appropriate;
Taking on some of the director’s responsibilities and working more closely with management;

Requirements

Must be residing in Abuja
Minimum of 2 years experience as a Personal Assistant to the Managing Director, CEO etc.
Must possess a minimum of OND/HND in Secretarial/Business Administration, in any discipline.
PA experience/experience in Office Administration is an added advantage

Must be self-motivated and have a Can-Do attitude
Must be discrete
Must be superbly organized and proactive.
Ability initiate tasks that need to get done, and ask for clarification when the desired outcome is unclear
Computer skills with word processing and spreadsheet software (MS Word, Excel, PowerPoint).
Competency to follow directions and ability to work independently as well as part of a team.
