HR Officer

Job brief

We are looking for a skilled HR Officer who will provide support on all HR value chains such as recruitment, onboarding, performance management, employee engagement, training and development, employee database management, etc.
The Officer will be responsible for administrative tasks and will contribute to making the company a better place to work.
The goal of the role is to provide excellent assistance and support to employees and managers.

Responsibilities

Arrangement, Filing, and scanning of all personnel and administrative files.
Preparation of HR-related memos
Assisting with HR projects and setting up of meetings
Documentation and filing of employees Leave records.
Support the recruitment process by ensuring that all candidates are contacted and invited for interviews.
Shortlisting of Candidates (Skilled – Team Lead)
Support in the documentation process for all new employees by ensuring that all the onboarding documents are properly signed, and new les opened for all of them.
Prepare employment letters for all new employees and ensure they are signed and sent out within 24 hours of receiving the approval.
Keep an up-to-date record of all exited staff and ensure proper filing of all exit documents (resignation letter, handover notes, and exit clearance)
Manage the HMO Data and ensure that all new employees are enrolled, and existing staff have their pin numbers.
Ensure all staff members have their birthday greetings ready and sent to them on birthdays.
Responsible for introducing new staff members to the staff community via email at least 24 hours after resumption (their pictures must be on the post with a brief description of their career profile)
Collation of HR Advise from all sites for Monthly Payroll
Preparing and distributing staff-com
Preparing and Issuance of call allowance to all staff
Processing the payment of vendors’ salary and submitting report to supervisor for vetting.
Submit weekly HR reports which include bento attendance reports, all exited staff reports, all newly employed staff and all recruitment and vacancy status.
Act as the knowledge champion / coordination of Tool box meeting for Head office
Any other duty designated by the HR Advisor/Manager.

Requirements and skills

B.Sc / BA Degree in Business Administration, Social Studies or a relevant field; further training will be a plus.
1 – 2 years of relevant experience in human resources.
HR Credentials (e.g., ACIPM, PHR etc.) will be an added advantage.
Proven experience as HR officer, administrator or other HR position
Knowledge of HR functions (pay & benefits, recruitment, training & development etc.)
Proficient in MS Office; knowledge of HRMS is a plus.
Outstanding organizational and time-management abilities
Excellent communication and interpersonal skills
Problem-solving and decision-making aptitude
Strong ethics and reliability.
