MAIN JOB DESCRIPTION
As a fleet operations officer, your role will involve completing the day-to-day tasks in the management of our vehicle fleet and administrative functions, contributing to the overall efficiency and effectiveness of our organization.
GENERAL DUTIES AND RESPONSIBILITIES
Assist in resolving fleet and administrative issues as they arise.
Help identify and execute cost-saving measures in fleet and administrative operation.
Review expenses to ensure they remain within budget limits.
Maintain open communication within the drivers and team.
Respond to inquiries and concerns from drivers promptly.
Conduct regular safety checks to ensure vehicles comply with safety standards
Report all issues to the operations manager.
CORE DUTIES AND RESPONSIBLITIES
Fleet Management:
Inspect each vehicle regularly and report any issues.
Schedule regular maintenance for vehicles and ensure they are serviced on time
Administrative Functions:
Maintain an inventory of supplies and reorder when stock is low.
Ensure that administrative processes, contracts, and agreements are well-documented.
Driver Management:
Monitor driver performance and provide feedback on safety, efficiency, and professionalism.
Create and distribute weekly driver schedules.
Routing and Scheduling:
Optimize routes and schedules to maximize the efficiency of the fleet while reducing operational costs
Ensure that routes are compliant with traffic regulations and prioritize safety
Fuel Management:
Ensure proper systems to manage fuel consumption and control fuel costs.
Monitor fuel purchases, consumption, and efficiency.
Implement best practices for fuel-efficient driving.
Preventive Maintenance:
Ensure preventive maintenance to proactively address vehicle maintenance needs and reduce the frequency of breakdowns.
Oversee regular checks of tire pressure and oil levels in all vehicles.
KEY PERFORMANCE INDEX
Ensure all maintenance of company vehicles are properly carried out.
Proper coordination of logistics operations.
Proper monitoring of transportation routes, fuel consumption, and vehicle maintenance to assess the efficiency of logistics operation.
Ensure accuracy and completeness of administrative records.
Proper coordination of vendors and suppliers in terms of timeliness, quality, and adherence to agreed-upon terms.
Ensuring that all company vehicle documents are up to date.
Timeliness in resolving issues or problems related to fleet management or administrative functions.
REQUIREMENTS
OND/HND in logistics or a related field
1-2 years’ experience in fleet management.
Good knowledge of vehicle maintenance, safety regulations, and compliance
Excellent organizational and time management skills
Strong problem-solving abilities
Proficiency in using office software (e.g., Microsoft Office Suite).
Attention to detail and accuracy.
Excellent communication and interpersonal skills
Ability to work in a fast-paced environment and adapt to changes
Knowledge of safety and regulatory requirements for the transportation of power equipment.
