To oversee cash management duties, this role entails overseeing all office cash transactions and ensuring accurate daily entries within the COOP-Cooperazione Internationale accounting system (Deny).
Ensure accurate project management and coordination of cash activities, including cash box and bank transactions, with a primary focus on conducting monthly reconciliations—both physical and through the accounting software Deny—under the guidance of the Area Administrator.
Ensures accurate project accounting and maintains all accounting documentation by systematically organizing, filing, and scanning payment vouchers along with their supporting materials for archival in the COOP cloud.
Administrative management responsibilities include ensuring the proper oversight of project-related administrative tasks such as contracts, procurement of goods and services, and tender processes, all in strict alignment with COOP’s protocols and donor requirements.
Prepare payment documentation and ensure all supporting materials align with COOP’s policies, donor requirements, and relevant local legal standards.
Organize, file, and scan all payment vouchers, along with their supporting documentation, for secure storage within the COOP cloud system.
Serving as the primary finance liaison, you will oversee the precise distribution of cash to projects, meticulously reviewing documentation both before and after disbursements to ensure accuracy and compliance. Additionally, you will attend distributions and payments to actively monitor transactions and confirm their proper execution.
Assist in the organization and preparation of audit materials for projects, ensuring all necessary documentation and coordination tasks are completed efficiently.
Handle bank runs encompassing transfer requests, withdrawals, and the issuance and receipt of letters and bank statements, as well as performing bank reconciliations.
To maintain accurate project inventory records in collaboration with the Logistics Department and support the execution of periodic physical inventory checks and stock assessments.
Withholding tax remittances must be made to the relevant state authorities in a timely manner.
Ensure the acquisition and organization of all HR documentation for newly onboarded staff and maintain seamless distribution of monthly payslips alongside any additional HR-related documents.
Maintain and update the database to accurately track the leave records of all COOP national staff.
Monthly, compile and maintain attendance records for all staff members.
Assist the HR Officer or Manager by compiling and organizing staff timesheets as required.
Conducts supplementary duties as assigned, ensuring alignment with organizational goals and operational needs. Supports cross-functional teams by providing specialized assistance, facilitating seamless project execution, and addressing ad hoc requests promptly.
