Role Overview
The Executive Secretary will provide comprehensive administrative and organizational support tothe Executive Leadership Team/CEOto ensure efficient daily operations and the smooth execution of strategic initiatives.
The ideal candidate will be highly organized, professional, and adept at managing schedules, handling confidential information, and supporting executive-level decision-making.
Key Responsibilities
Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and events.
Organize and prepare briefing materials for meetings and presentations.
Handle correspondence, including emails, letters, and memos, with professionalism and discretion.
Coordinate travel arrangements, itineraries, and agendas for business trips and events.
Act as the main point of contact for internal and external communications on behalf of the executive.
Monitor and follow up on action items, ensuring deadlines are met and commitments are fulfilled.
Prepare meeting minutes and ensure follow-through on agreed tasks.
Liaise with stakeholders, clients, and partners to build and maintain professional relationships.
Maintain and organize confidential documents and information in line with company policies.
Assist with the planning and execution of special projects and administrative tasks as assigned.
Qualifications & Experience
Proven experience as an Executive Secretary, Personal Assistant, or similar administrative support role.
Exceptional organizational and time management skills, with attention to detail.
Strong communication and interpersonal abilities, both written and verbal.
Proficient in [insert tools or software, e.g., Microsoft Office Suite, Google Workspace, scheduling tools, CRM systems, etc.].
Ability to work under pressure, manage multiple priorities, and maintain professionalism in a fast-paced environment.
Discretion and sound judgment when handling confidential information.
