Executive Assistant to the CEO

The Executive Assistant to the CEO will provide high-level administrative support, ensuring efficient operation and communication within the executive office. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The Executive Assistant will manage schedules, coordinate meetings, facilitate communication between the CEO and internal/external stakeholders, and support various strategic initiatives.

Duties & Responsibilities

Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring efficient time management.
Prepare and organize meeting agendas, materials, and minutes.
Handle complex travel arrangements, including booking flights, accommodations, and transportation.
Serve as the primary point of contact between the CEO and internal/external stakeholders.
Draft, review, and send communications on behalf of the CEO.
Screen and prioritize emails, phone calls, and correspondence to ensure timely responses.
Assist in the planning and execution of special projects and strategic initiatives.
Track progress on various projects, ensuring deadlines are met and stakeholders are updated.
Conduct research and provide reports to support the CEO’s decision-making process.
Maintain confidential files and records.
Organize and manage documents, reports, and presentations.
Ensure the CEO has all necessary materials for meetings and presentations.
Plan and coordinate company events, executive meetings, and conferences.
Handle logistics, including venue selection, catering, and technical arrangements.
Build and maintain relationships with key stakeholders, including board members, investors, and partners.
Facilitate communication and coordination between the CEO and other executives, departments, and external parties.
Assist with personal tasks to support the CEO’s work-life balance.
Perform additional administrative duties as assigned by the CEO.

Educational Qualifications, Experience & Requirements    

Bachelor’s degree in Business Administration, Management, or a related field.
3-5 years of experience as an executive assistant, administrative assistant, or in a similar role, preferably supporting senior executives.
Exceptional organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to handle confidential information with integrity and discretion.
Strong problem-solving abilities and attention to detail.
Ability to work independently and manage multiple tasks simultaneously.
Professional demeanor and strong interpersonal skills.
Project management experience is a plus.
