Description:To report to the CEO providing high quality professional assistance to support the achievement of the CEO’s strategic plans in line with business objectivesS/he shall serve as primary point of contact for internal and external interaction with the office of the CEO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projectRole holder will be responsible for optimal coordination of activities linked to the CEO’s Office for successful execution of daily plans. Educational Qualifications & Functional / Technical Skills
First degree in Business Administration or Management; a Master’s degree is an added advantage
Professional Certification in Project Management is an added advantage
Above average knowledge and experience of office management systems, procedures and IT literacy
Proficient in Microsoft packages and use of social media
JOB RESPONSIBILITIES
Management of assigned projects, from start to completion within predefined timelines
Responsible for preparation of proposals, reports, meeting agendas, meeting minutes and briefs including presentation of same when required
Relationship management with employees and stakeholders; communicates directly and on behalf of the CEO, with members of the Senior Management Team and others on matters related to CEO’s Office
Work cross-functionally to provide strategic solutions and support to drive organizational growth
Represent the interest of the CEO within and outside the company; might periodically be required to represent the CEO at meetings, functions and events
Completes a broad variety of tasks for the CEO including
Organisation and coordination of meetings and high-profile engagements
Scheduling and managing an extremely active calendar of appointments
Preparing and managing sensitive correspondence
Arranging complex travel plans, itineraries, agendas etc.
Overall management of the CEO’s Office for effectiveness
Prioritizes for closure, matters addressed to the CEO, ensuring appropriate course of action is implemented.
Relevant Experience
At least 5 years’ experience working directly with the CEO of a multinational organization or in a project management role
Experience in internal and external communication management
Proven secretarial and administrative skills at least 5 years’ experience working directly with the CEO of a multinational organization or in a project management role
