PurposePrincipal responsibility for providing administrative assistance to Group Executive DirectorFully managing Group Executive Director’s Office Key aimsProviding executive support to Group Executive Director on business and personal mattersTaking on the role of his “gatekeeper”Key responsibilitiesProviding executive support to the Group Executive Director Attending to daily enquiries at GED OfficeCo-ordinating the Group Executive Director’s schedule including internal and external obligationsArranging and co-ordinating meetings and eventsArranging and co-ordinating travel arrangements  Preparing and editing correspondence, communications, presentations and other documentsDesigning and maintaining various office databases (contacts, agreements, legal documents, etc.)Supervising filing and archiving (electronic and hard copies) system  Recording, transcribing and distributing minutes of various meetingsMonitoring and responding to incoming communications  (answering GED’s emails and phone enquiries)Liaising with internal staff at all levels Liaising with clients at all levels Attending to business enquires related to GED’s activitiesAttending business meetings with GED and sometime acting as proxy for GEDReviewing administrative operating practices and procedures at GEDs Office and implementing improvements where necessary (maintenance of office equipment, appliances and furniture)Coming up with ideas that will streamline work and identifying incidents that require immediate attentionEnsuring that administrative office operations are maintained in an effective and up to date manner  Ad hoc requestsReporting requirementsAd hoc reports and research Meet with GED weekly and produce monthly reports Key  internal interfacesGroup Executive ChairmanGroup Executive DirectorBD DirectorJagal Limited TeamKey  external interfacesJV ClientsReports toThe GEDSkillsExcellent command of English Language – written and oral Great business acumenProactive focus on supportExceptional task and time managementStrong listening skillsStrong communication skills  Great interpersonal skillsStrong organisational skillsSkilled manager of prioritiesThriving on changeAttention to detail and accuracy Must have high patience levelHave good memory powerInformation gathering and information monitoring skillsProblem analysis and problem solving skillsJudgment and decision making abilityCapable of handling difficult situationsPersonal Attributes Must maintain strong confidentialityBe honest and trustworthy Proactive and highly Initiative Possess flexibilityMust be equipped with emotional intelligence EducationBachelor’s Degree (Business or Law)ExperienceWorking in a corporate, legal or commercial corporation for 6-8 years.
