Executive Assistant (Admin) to the Executive Chairman Chief Operating Officer

Job Summary

The Executive Assistant (Admin) to the Executive Chairman will provide high-level administrative, clerical, and organizational support.
This role requires a highly organized, discreet, and proactive individual who can handle a variety of tasks efficiently and confidentially.

Responsibilities

Manage the Executive Chairman’s complex calendar, scheduling meetings, appointments, and travel arrangements.
Prioritize tasks and manage time effectively to ensure a smooth workflow.
Draft, edit, and proofread correspondence, reports, and presentations.
Manage incoming and outgoing mail and emails.
Booking flights, hotels, transportation, and handling itinerary details for business trips or personal travel.
Prepare travel itineraries and expense reports.
Handle administrative tasks such as filing paperwork, managing expenses, maintaining records, and handling any other administrative responsibilities as directed.
Provide administrative support for various projects, including data entry, research, and report generation.
Handle highly confidential information with the utmost discretion and professionalism.
Assist in planning and organizing meetings, conferences, and other events.
Work closely with other team members or departments to ensure that tasks are completed efficiently and deadlines are met.
Build and maintain strong relationships with internal and external stakeholders, including board members, executives, and clients.
Represent the Executive Chairman professionally and courteously.

Qualifications and Skills

Proven experience as an Executive Assistant or a similar role supporting C-suite executives.
Strong organizational and time management skills.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to multitask and prioritize tasks effectively.
Detail-oriented and accurate.
Discretion and confidentiality.
Ability to work independently and as part of a team.
Strong problem-solving skills.
A high level of emotional intelligence and diplomacy.
