Executive Assistant

Position Overview:

We are looking for a versatile and proactive individual to fill the dual role of Executive Assistant and Head of Operations. This pivotal position will provide comprehensive support to the ceo and play a critical role in streamlining and optimising our company’s operations. The ideal candidate will be a strategic thinker, an exceptional communicator, and possess a strong ability to multitask and prioritise in a fast-paced environment.

Responsibilities:

Executive Assistant Duties:

Manage the ceo’s calendar, schedule appointments, and coordinate meetings.
Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
Prepare and organize presentations, reports, and other documents.
Act as a point of contact between the ceo and internal/external stakeholders.
Handle confidential information with discretion and professionalism.
Develop and implement operational strategies to improve efficiency and productivity.
Oversee day-to-day operations, ensuring smooth and effective workflow.
Manage and coordinate project timelines and deliverables.
Identify and resolve operational issues and challenges.
Develop and maintain operational policies and procedures.
Monitor and analyse key performance indicators (KPIs) to track progress and identify areas for improvement.
Manage vendor relationships and negotiate contracts
Assist with the recruitment and onboarding of new employees.
Support the development and implementation of company-wide initiatives.
Manage and optimize the use of company resources.
Ensure that projects are delivered on time, within budget, and to the highest standards.

Qualifications:

Bachelor’s degree in Business Administration, Management, or a related field (preferred).   
Proven experience as an Executive Assistant and/or in an operations management role.   
Strong organisational and time-management skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).   
Ability to work independently and as part of a team.   
Strong problem-solving and decision-making abilities.
Ability to handle multiple tasks and prioritise effectively.
Experience in the IT industry or with ERP systems is a plus.
Ability to maintain confidentiality.
Proactive and self motivated.
