The position
The Chief of Staff to the CEO is the crucial torchbearer guiding the CEO’s day-to-day rhythm and will immediately impact productivity by streamlining strategic initiatives, overseeing program management, and communicating objectives to departments. The ideal candidate will have proven success in a business management role, with a special focus on executive-level advising and interdepartmental collaboration. The responsibilities include both directed work that will mostly be triggered by a direction from the CEO as well as self-directed leadership work
Responsibilities
Direct Work
Oversee on behalf of the CEO strategic business initiatives, from development through successful execution
Improve current processes and optimize organizational procedures for efficiency and productivity
Create written material and presentations on behalf of the CEO.
Suggest changes to processes based on discussions during meetings or from the CEO and address any comments on them.
Ensure upcoming weekly meetings are relevant, well structured, and that the preparation is complete and correct.
Moderate CEO meetings.
Ensure action points coming out of meetings (i.e. executive, OKR, key, or incident meetings) are implemented.
Prep for the CEO quarterly townhalls
Oversee daily operations of the CEO in collaboration with senior managers and department leaders
Leadership Work
Initiate and guide the OKR process according to the performance appraisal cycle.
Identify opportunities to acknowledge success within the team and ensure that they are appropriately recognized by the CEO.
Own agenda for annual offsite meetings
Serve as a proxy for the CEO by attending meetings in place of the CEO and making decisions on the CEO’s behalf.
Participate in every EXCOM meeting. You will not be an executive or part of the EXCOM, but you will take part in E-Group activities.
Act as a communication arm for the CEO with team members and other stakeholders.
Act as a sounding board to the CEO for new ideas and initiatives.
Prepare ahead of formal and informal Board meetings. Ensure CEO has up to date information from every function in advance of questions from the board.
Run special projects that are urgent and important
Requirements
Education:
University degree, ideally majoring in Business Management.
Experience & knowledge:
7+ years in a business management or executive role
Experience in planning and leading strategic initiatives
Experience in organizing and directing multiple teams and departments
Excellent written and verbal communication skills
Versatile abilities and extreme dedication to efficient productivity
Experience in data analysis and budget management
Consulting experience, with a focus on operations management
Proven success in a project coordination role
Nimble business mind, focused on developing creative solutions
Strong project-reporting skills, with focus on interdepartmental communications
