CEO Operations Assistant (Abuja)

Position Summary:

We seek a highly organized and proactive CEO Operations Assistant to support the CEO  in managing daily operations, strategic tasks, and administrative responsibilities. The ideal candidate will act as a trusted partner to the CEO, ensuring seamless execution of tasks, covering on their behalf when required, and contributing to the office’s overall efficiency. This role requires discretion, attention to detail, and excellent time management skills.

Key Responsibilities:

Executive Support

Manage the CEO’s calendar, schedule appointments, and coordinate meetings to optimize their time.
Organize travel arrangements, including booking flights, accommodations, and preparing itineraries.
Ensure the CEO is well-prepared for meetings, events, and presentations by gathering necessary materials.
Maintain the CEO’s personal and professional image by managing wardrobe coordination and ensuring punctuality for events.

Operational Assistance

Serve as the CEO’s representative in their absence by making decisions, approving documents, and relaying instructions as needed.
Act as a liaison between the CEO and internal teams, ensuring clear communication and follow-up on tasks.
Coordinate and oversee special projects and events, ensuring all details are planned and executed flawlessly.
Prepare and review correspondence, reports, and other documentation on behalf of the CEO.

Administrative Management

Handle confidential information with discretion and professionalism.
Maintain organized files, records, and systems for easy retrieval and reference.
Monitor and manage incoming communications, including emails, phone calls, and mail, prioritizing and responding as appropriate.
Draft professional correspondence and assist with presentations as needed.

Strategic Coordination

Support the CEO in decision-making by providing research, insights, and updates on ongoing projects.
Assist in monitoring and ensuring alignment with the company’s strategic goals and initiatives.
Coordinate with stakeholders, clients, and external partners on behalf of the CEO.

Qualifications and Skills:

Bachelor’s degree in Business Administration, Communications, or a related field.
Proven experience in an executive assistant or operations assistant role, preferably supporting C-level executives.
Strong organizational and multitasking abilities with an eye for detail.
Exceptional written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling tools.
Professional demeanor and ability to maintain discretion with confidential information.
Problem-solving mindset and ability to work independently with minimal supervision.
Flexibility to adapt to changing priorities and handle high-pressure situations.
