Admin and Finance Officer

Position Type: Full-Time (Monday – Thursday)

Job Summary:

The Admin and Finance Officer will play a key role in ensuring the smooth operation of GAF by managing administrative tasks, maintaining financial records, and supporting the organization’s physical activities and events. This includes tasks such as capturing data, photos, and videos to document the foundation’s impact. Strong organizational skills, attention to detail, and the ability to handle confidential information are essential for this role.

Key Responsibilities:

Administrative Management:

Organize and maintain office operations, including record-keeping, filing systems, and supplies management.
Manage correspondence, schedule meetings, and provide administrative support to team members.
Ensure compliance with organizational policies and procedures.

Financial Oversight:

Maintain accurate financial records, including receipts, invoices, and expense reports.
Prepare and monitor budgets, ensuring efficient allocation and use of resources.
Assist in preparing financial reports for internal and external stakeholders.

Payroll Administration:

Process payroll, ensuring timely and accurate payment of staff salaries.
Handle statutory deductions, such as PAYE tax, and ensure compliance with relevant regulations.

Procurement and Asset Management:

Manage procurement processes, ensuring cost-effectiveness and adherence to procurement policies.
Maintain an inventory of assets and supplies, tracking usage and replacement needs.

Compliance and Auditing:

Support audits by providing necessary documentation and information.
Ensure compliance with financial and administrative regulations, including tax filings.

Stakeholder Support:

Liaise with external partners, vendors, and stakeholders to facilitate operations.
Support internal teams with administrative and financial needs to achieve organizational goals.

Event and Activity Support:

Work collaboratively with the Communications Officer to plan and execute physical activities and events.
Assist in capturing data, photos, and videos during events to document impact and outcomes effectively.
Support the Communications Officer in compiling and managing event-related data for reporting, publications, and future reference.
Ensure that all documentation aligns with GAF’s branding and messaging standards.

Qualifications and Skills:

Minimum of OND in Accounting, Business Administration, or a related field.
At least 6 months of experience or similar experience in administrative and/or financial management, preferably in a non-profit organization.
Good knowledge of accounting principles; proficiency with financial software is an added advantage.
Familiarity with tools such as Monday.com, SharePoint, Teams, Outlook, and Calendar will be an added advantage, but ongoing training and support will be provided.
Good organizational and multitasking skills.
Good communication and interpersonal skills.
High level of integrity and ability to handle sensitive information confidentially.
Basic skills in photography or videography are an added advantage.
