Job Description
Management of Meetings (Governing Council Strategy, Sunday Service, Tuesday Service, Vigils)
Recording Meeting Minutes – Zero (0) errors or corrections on Minutes of Meeting i.e. Minutes can be sent out without corrections
OOS for Sunday Services and Vigils are completely scheduled 72 hours before the event i.e. all participants confirmed and briefed, OOS sent out, all items clarified, any special arrangements made
Governing Council meeting and Strategy Meeting notification schedule implemented 100% notices sent out at proper times and on proper platforms
Effectively Project Manage Action Items for Meetings – audit completion through the week using reminders
Checklist developed for Services and Vigils – including timing and responsible party. Implement portion for Operations
Project Manage Services and Vigils to implement checklist 100% by “15 minutes to start”
Unity Hill Calendar and Roster
Keep Unity Hill Calendar current and updated with any changes or updates (within 24 hours of notification)
Ensure the calendar is discussed (at the in person Governing Council meeting) in January
Finance and Procurement:
Develop List of Stipend Volunteers and implement Personal Signature Receipt sheets for Cash payments
Compile List of Vendors with contact information – Business Name, Address, Contact Person, Phone, Email, Items/Services Provided
Compile List of HOF Pastors and Ministers – Name, Expression, Phone, Email
Compile List of Key HOF Business Partners and Staff e.g. HR, Procurement, Media, Finance, etc. – Name, Role, Phone, Email
Compile weekly list of requisitions for the month using new template
Communications:
Implement Admin portion of Weekly Communications Schedule (to be developed by DComms) 100% consistently
Ensure printing of Calendar for February before the 22nd of January.
General Admin / Other:
Manage Member Database
Building, managing and establishing relationship with prospective clients.
Following up new business opportunities and setting up meetings.
Attending networking seminars, meetings and conferences.
Developing Proposals.
Providing management with feedbacks.
Writing reports.
Requirements
Bachelor’s Degree/HND Holders
Strong communication and Interpersonal skills
Creative talents and the ability to solve tough problems
