KEY PURPOSE OF JOBDevelop and maintain FMD financial and cost control measures and other initiatives to ensure improve service offering and optimal truck life circle.MAIN RESPONSIBILITIESCompliance Role
Identify and Review existing processes and compliance levels
Ensure compliance to all the established processes and controls and develop process around identified gap areas.
Communicate existing or new processes to all Fleet Management staff to create maximum awareness and undisputable culture within the system.
Ensure all agreed processes are users friendly and result oriented
Establish and Implement rewards and punishments for failure to comply to agreed process
Ascertain the effectiveness of each process to value creation. Establish feedback and implement controls of processes
Ascertain and improve where necessary, Fleet Management staff organization capacity in relation to process and compliance
Encourage and promote compliance culture within Fleet Management team
Financial Management Role
Improve Fleet Management business by agreed percentage YoY.
Develop, Institute, Implement, Monitor and Control Fleet Management Cost optimization strategy
Develop, Institute, Implement and Control Fleet Management Revenue maximization strategy
Develop, Institute, Implement and Monitor Fleet Management Investment Policy
Develop, Institute, Implement and Monitor Fleet Management Financing Policy
Develop, Institute, Implement and Monitor Fleet Management Risk Policy
Develop, Institute, Implement and Monitor Fleet Management Asset Management Policy
Develop, Institute, Implement and Monitor Fleet Management Liquidity Management Policy
Establish and Monitor Internal Control process among all functional units within Fleet Management to ensure compliance.
Ensure proper documentation of all business transactions and all business engagements with Fleet Management
Ensure proper documentary records are kept for report and audit purposes.
Ensure proper assumptions are available for profitable investments purposes.
Cost Management – Fleet Management Costing System
Develop and maintain a standard Fleet Management Workshop costing model
Develop a cost dashboard monitoring all the key cost drivers on a weekly basis
Analyse each key cost driver to determine trend, cost pattern, root cause and Identify solution
Develop and maintain a Tyre planning, utilization, Regrooving and rethreadingcost model
Maintain minimum agreed percentage as total cost of production/work done to guarantee agreed EBITDA percentage monthly and per annum.
Establish and maintain a standard labour costing system that optimize efficiency, productivity and improve the staff motivation for retention.
Crash Cost Recovery
Determine the crash cost of each truck breakdown/accidented trucks
Ascertain crashcost liability – company/driver/third party/Insurance
For driver crash cost liability, follow the wilful damage repair procedure
For Insurance crash cost liability, follow through with the finance team and the company Insurance Company
Improve Fleet Management Service Offering – External Revenue Generation
Conduct periodic market research for utilisation and optimisation of the company fleet management – Identify competitors, industry market size, and market opportunities.
Define Fleet Management Service offerings, appraise more service offerings to grow market share size. – through asset light initiative.
Develop and appraise the pricing template for the Fleet Management optimisation and utilisation
Develop and sign off the Service level agreement between Fleet Management and other stakeholders as ratified by the legal unit
Manage and Improve all Internal and External customer relationshipswith Fleet Management
Develop and appraise all standard bankable contracts for the Fleet Management with all stakeholders
Ensure compliance to all the established processes and controls and develop process around identified gap area.
Truck Life Circle
AnalyseTruck maintenance history to determine current level of effective truck life span and provide strategic/technical recommendations to improving the truck life span.
Develop truck lifespan repair cost and align it with the truck profitabilitythrough truck redistribution strategy, truck utilization and truck maintenance plan.
DevelopTruck Utilization andtruck replacement policy and standard
Determine and assess Truck historical km andexpected kmfor replacement assessment
Develop and Implement monthly and annual Truck maintenance plan
Fleet Management financial model/budget
Develop and maintain requiredCAPEX for the Fleet Management

Establish standard Fleet Management Revenue Assumptions
Establish standard Fleet Management Financing Assumptions
Develop and maintain Fleet Management Annual budget
Organise periodic strategic session on effective and efficient budget delivery fleet management
Truck Rebuild – Project investment cost Management
Develop trucks rebuild strategy
Assess Truck rebuild Project Cost investment to standard ROI parameters
Track Truck Rebuild Performance periodically
Maintain a zero policy on asset/truck write off
Truck Availability – Improving workshop productivity and Efficiency
Maintain agreed percentage truck availability for all stakeholders of the fleet management unit
Maintain Daily monitoring of truck availability database
Develop and maintain a template for Workshop Productivity and efficiency improvement.
Ensure Truck Availability daily output plan and Monitor its daily delivery.
Fleet Wilful Damages, PM, Repairs and offsite
Ensure that all wilful damage repairs are valued, cost accumulated and recovered from relevant stakeholders
Ensure Total Wilful Damage Cost is analysed by contract, by drivers, by repair/fault reported and by frequency of occurrence.
Training on prone areas recommended for the drivers in conjunction with the Drivers Admin. and HSSEQ departments aimed at reducing wilful damage occurrence and associated cost
Generate monthly wilful damage report for the relevant stakeholders
Follow up with the recovery of the Wilful Damage Cost from relevant stakeholders
HSSEQ responsibilities
Ensure compliance with all health, safety and security regulations and policies.
Ensure that adequate and effective risk assessments are undertaken and regularly reviewed.
Liaise with HOD – FMD or HOD – HSSEQ on any health, safety or security problem which you cannot resolve.
Responsible for the health, safety and welfare of all staff under direct management and expected to contribute to the health and safety of all personnel in the overall business unit.
Comply with health and safety procedures and instructions.
