The Reconciliation Officer is tasked with verifying and aligning purchase orders, invoices, delivery records, credit notes, and payments from supermarkets, distributors, and other commercial partners. This position guarantees the precise recording of all transactions, the immediate identification and resolution of discrepancies, and the systematic tracking and escalation of outstanding payments to uphold optimal cash flow and reliable financial reporting.
Oversee and manage the full range of operational duties, ensuring adherence to established policies and procedures. Develop and implement strategic initiatives to enhance efficiency, productivity, and overall performance within the designated department. Collaborate closely with cross-functional teams to align objectives and drive cohesive workflows. Monitor key performance indicators (KPIs) to assess progress and identify opportunities for improvement. Serve as a primary point of contact for internal and external stakeholders, fostering strong professional relationships. Ensure compliance with regulatory standards and organizational guidelines while mitigating risks through proactive measures. Reconcile supplier purchase orders with supermarket records, invoices, delivery confirmations, and payment documentation to ensure accuracy and alignment.
Ensure every customer delivery is accurately invoiced and recorded in the accounting system.
Verify payments received by reconciling them with outstanding invoices and customer accounts.
Examine and address discrepancies pertaining to purchase orders, invoices, shipments, deductions, returns, and payments to ensure accuracy and alignment in financial records.
Monitor all outstanding invoices and ensure timely follow-up on overdue payments from supermarkets, distributors, and trade customers to maintain healthy cash flow and reduce financial risks.
Draft and distribute customer account statements as needed.
Prepare meticulous reconciliation schedules alongside their supporting documentation to ensure complete accuracy.
Handle unresolved payment disputes and long-outstanding debts by escalating them to management for resolution.
Compile weekly and monthly reconciliation and accounts receivable reports.
REQUIREMENTS
A bachelor’s degree in Accounting, Banking & Finance, or Business Administration is required.
Applicants must be no older than 29 years of age.
Completed the National Youth Service Corps (NYC) program.
Seeking a candidate with 1 to 2 years of hands-on experience in reconciliation, accounts receivable, finance, accounting, or a closely related field to support financial operations effectively.
Strong understanding of purchase orders, invoices, statements of account, and payment reconciliation.
Proven expertise in Microsoft Excel and Google Sheets is essential.
