Front Desk Officer Programmme Manager

Job Objective

The job holder will provide secretarial and operational support to the directorates and departments at the ICRD headquarters. Organizational Relationships.
The job holder reports directly to the Executive Director and supervises the Office Assistant and Driver.

Key Job Responsibilities The Front Desk Officer’s responsibilities include but are not limited to:

Securely managing inflow and outflow of visitor traffic
Managing enquiries via telephone and designated e-mail accounts
Assisting the Director of Communication with social media outpost management, as well as information dissemination through appropriate media/channels
Providing secretarial support to directorates and programme staff
Sorting and archiving correspondence for efficient retrieval and ensuring prompt follow-up
Effectively managing a filing system; safely storing sensitive and confidential materials as required
Scheduling and managing meetings and appointments, including arranging appropriate transportation as required
Database management
Managing petty cash disbursements under the guidance/supervision of the Executive Director
Managing inventory of office supplies
Relationship and vendor management
Responsibility for office equipment, grounds, and managing relationships with support staff (driver, office cleaner, security officers, website manager, etc)
Efficient event co-ordination skills

Key Performance Indicators:

Quality of service provided to staff and stakeholders

Requirements The Person

The ideal candidate must combine an ability to self-manage and take initiative with impeccable people skills. Learning quickly and within time constraints are essential to successful task delivery, as are a growth mindset and the ability to multi-task effectively.
As a support staff to the Communication Directorate, the ideal candidate must have good comportment and exceptional communication skills, with working knowledge of, and an interest in, Nigeria’s social, political and economic landscapes and ICRD’s causes.
The minimum educational requirement is a second class lower Degree from a reputable university, a Higher National Diploma, Upper Credit, or an equivalent certification in Secretarial Studies or related fields. Relevant experience will be an added advantage and candidates who do not meet the educational requirement may be considered in exceptional circumstances. A strong grasp of Microsoft Office is essential.
