Main Functions

The Contracts Advisor plays a key role in facilitating or overseeing the execution of project contracting activities.

This role may encompass strategic and planning activities during the initial stages of project development, contractor qualification, and the leadership and management of commercial aspects throughout the Pre-front end engineering design (FEED) / FEED / Engineering, Procurement, and Construction (EPC) contract development process. Additionally, the position involves assisting in contractor evaluation, selection, and award recommendations, ensuring the execution and administration of high-quality prime contracts, as well as coordinating interfaces following contract award to facilitate project completion through contract close-out.

Crafts and executes processes and assignments to support organizational objectives. Designs, develops, and implements strategies to enhance productivity and efficiency. Evaluates performance metrics and data to identify trends and areas for improvement, recommending corrective actions as necessary. Collaborates with cross-functional teams to ensure alignment with company goals and foster innovation. Maintains accurate documentation and adheres to compliance standards. Prioritizes tasks and allocates resources effectively to meet deadlines and project milestones.

Oversees processes, generates deliverables, and enhances tools to facilitate the development of the project contracting strategy, contractor qualification, evaluation of bids, and proposal assessment.

Crafts comprehensive Contracting Plan(s) aligned with the established Contracting Strategy.

Prepares comprehensive Invitation to Tender (ITT) packages in strict alignment with the established responsibility matrix.

Maintains a comprehensive database of all correspondence to ensure every inquiry and resolution is accurately recorded and that finalized agreements are captured in the proposals.

Negotiates or assists in negotiating contentious contractual terms and conditions, ensuring alignment with organizational objectives and compliance standards.

Ensures that all contractual documents align precisely with the chosen bidder’s proposal, any subsequent clarifications provided, and the outcomes of final negotiations.

Secures final functional review and endorsement of contract documents from relevant stakeholders, including Legal, Audit, and Controllers, as mandated by organizational procedures.

Delivers pricing and other commercial analyses to the Project Team to support the formulation of contract award recommendations.

Assists the Physical Therapist in securing necessary contract award endorsements and approvals from senior management and key stakeholders.

Compiles, organizes, and preserves complete final contract files, ensuring all required components are included and properly maintained throughout their lifecycle.

Devises and spearheads internal kick-off meetings with company personnel to foster contract awareness, examine contractual terms and conditions, outline the change order procedure, and mitigate potential claims.

Creates external kick-off meeting materials for Company and Contractor teams, covering essential contract components such as the Principal Document, Coordination Procedure, and change order process.

Facilitates or assists with Contract Administration by collaborating with project and business managers to establish and align on contract administration responsibilities.

Evaluates Contractor’s contracting and subcontracting strategies, methodologies, processes, and final deliverables to verify adherence to Company-mandated standards and obligations.

The role involves processing and filing commercial documents for contractors, including items such as insurance certificates, Parent Company Guarantees, and Letters of Credit (Loss), while also ensuring original Bank Guarantees and Loss are filed in accordance with established procedures.

The incumbent is responsible for conducting thorough reviews and implementing necessary updates to the project file system and associated procedures, as well as maintaining the integrity and accuracy of the Master Document Register.

Reviews, updates, and oversees PT contractual correspondence procedures and communications, which encompass all contract-related notices outlined in the PT Document Distribution matrix.

Designs, implements, and oversees the approval workflow to ensure adherence to invoicing and payment regulations.

Coordinates the change control process, managing all amendments, change notices, change orders, and other contractual modifications. This encompasses oversight of the Management of Change (MOC) process, as well as maintenance of the Change Order log and Deviation log.

The position involves managing the Contractor’s subcontracting operations, facilitating the involvement of project teams in the Company’s review and approval of individual subcontracting plans, and overseeing subcontract development activities from initial qualification through to award and execution.

Provides guidance to the project team regarding contract administration and subcontracting matters, as well as the measures being implemented to address potential risks.

Evaluates contractor performance and delivers constructive feedback via project and functional management channels.

Compiles and disseminates key insights derived from contract administration and subcontracting activities to enhance project execution and organizational knowledge retention.

Devises the Contract Close Out Plan, which forms an integral component of the Project Close Out Plan.

Drafts and finalizes a comprehensive close-out agreement with the Contractor to resolve all pending obligations and outstanding items.

Seeking a candidate with a strong background in [specific skills, e.g., project management, digital marketing, data analysis], supported by [required qualifications, e.g., a bachelor’s degree or advanced certification in a relevant field]. The ideal applicant will demonstrate proficiency in [key technical skills, e.g., Python, SQL, Adobe Creative Suite, or CRM platforms]. Exceptional communication skills, both written and verbal, are essential for collaborating with cross-functional teams. Prior experience in [specific industry or role, e.g., healthcare IT, financial compliance, or sales operations] is preferred but not mandatory. The ability to multitask, prioritize under tight deadlines, and adapt to evolving priorities is critical. A Bachelor of Science degree in Engineering is strongly preferred for this position.

Preferred candidates will possess prior experience in contracts engineering or administration.

A minimum of one year of relevant professional experience in a comparable role is essential for consideration.

Proficiency in commercial negotiations, contractor management, and contract administration is required.

Demonstrates a comprehensive grasp of project execution methodologies, contractual frameworks, and foundational theories and principles governing both domains.

Open to traveling for business purposes or relocating to project locations, whether domestically or internationally.

Preferred experience includes serving as an owner or operator in project management capacities.

Professional certification or qualification from a recognized professional body such as ISM (CPM/CPSM), APIs, or PMP is required.
