Job Summary

The Admin & Facility Manager oversees the strategic management of the Bank’s facilities, administrative functions, vendor relationships, and workplace conditions to uphold uninterrupted business operations and maximize efficiency. This position leads property management, facility upkeep, lease oversight, renovation initiatives, procurement assistance, and comprehensive administrative services throughout the organization.

The successful candidate will be responsible for providing continuous oversight of facility management, administration, vendor coordination, and operational support within the Northern Region, thereby ensuring uninterrupted services to branches and regional offices. Additionally, the role will focus on mitigating operational disruptions and upholding compliance with organizational standards and regulatory mandates.

Oversee and execute core duties encompassing the development, implementation, and monitoring of strategic initiatives to drive organizational growth and operational efficiency. Collaborate with cross-functional teams to identify opportunities for process improvements, ensuring alignment with company objectives and industry best practices. Manage key projects from inception to completion, allocating resources effectively and mitigating risks to achieve targeted outcomes. Serve as a liaison between departments to foster seamless communication, resolve conflicts, and promote a cohesive work environment. Monitor performance metrics and KPIs to assess progress, provide data-driven insights, and recommend corrective actions as needed. Ensure compliance with regulatory standards, company policies, and ethical guidelines while maintaining a high standard of accountability and transparency.

Facility and property management encompasses the oversight and administration of physical assets, ensuring optimal operation, maintenance, and compliance with regulations. This role involves coordinating maintenance activities, managing vendor relationships, and implementing efficient systems to enhance operational performance. Responsibilities include overseeing daily operations, adhering to safety standards, and optimizing resource utilization to support organizational objectives. Additionally, it requires maintaining accurate records, conducting inspections, and addressing facility-related issues promptly to uphold a productive and compliant environment.

Oversee and sustain all organizational facilities to uphold a safe, secure, and productive work environment.

Oversee the planning, execution, and completion of all building maintenance, repair, and renovation initiatives to ensure optimal facility conditions.

Responsible for ensuring the continuous maintenance and peak operational performance of renewable energy infrastructure, particularly solar power systems and inverters, at designated sites.

Conduct routine inspections, perform preventive maintenance, and promptly address any issues impacting solar energy systems and associated equipment to ensure optimal functionality and reliability.

Responsible for managing property acquisition initiatives and negotiating advantageous lease and purchase agreements.

Oversee lease agreements and cultivate positive landlord relationships.

Ensure facilities adhere to environmental, health, safety, and regulatory mandates through consistent monitoring and enforcement of established standards.

Oversee general administrative functions, ensuring efficient coordination of office procedures and workflows. Manage documentation, records, and correspondence while maintaining organizational standards. Facilitate communication between departments to support seamless operational performance. Implement and enforce policies to uphold compliance and productivity. Collaborate with leadership to streamline processes and enhance overall administrative effectiveness.

Manage and coordinate cleaning, catering, parking, and various ancillary support services to ensure seamless operations and high standards of service delivery.

Provide administrative assistance to ensure the effective maintenance and servicing of solar power systems and other essential facility infrastructure.

Devise and execute administrative policies and procedures aimed at enhancing operational efficiency.

Provide comprehensive administrative support to the Head Office, Regional Offices, and Branches to ensure seamless operations.

Provide regional operational support by overseeing and enhancing daily business processes across designated areas. Analyze performance metrics to identify inefficiencies and recommend corrective actions to improve productivity and service delivery. Collaborate with cross-functional teams to implement process improvements and ensure alignment with organizational goals. Develop and maintain operational documentation, including SOPs and workflow guides, to standardize procedures and facilitate consistent execution. Monitor compliance with policies and regulatory requirements, addressing deviations promptly. Serve as a liaison between regional teams and headquarters to streamline communication and resolve operational challenges efficiently.

Ensure ongoing supervision and coordination of facility management and administrative functions throughout the Northern Region.

Collaborate with vendors and service providers to maintain seamless operational support for all branches and regional offices.

Oversee the operational efficiency, maintenance schedules, and accessibility of solar energy systems and inverters across all branches, ensuring continuous business functionality.

Partner with service providers and technical vendors to coordinate prompt repairs, proactive maintenance, and the replacement of defective solar equipment.

Monitor operational requirements and promptly resolve facility and administrative challenges that could affect business continuity.

Ensure the prompt and efficient completion of maintenance, logistics, and support activities to mitigate operational gaps and disruptions.

Demonstrate exceptional leadership capabilities and adept team management skills to drive organizational success. Foster a collaborative environment that empowers team members, promotes accountability, and cultivates high performance. Oversee team dynamics, ensure clear communication, and align individual goals with broader strategic objectives. A bachelor’s degree in Business Administration, Facilities Management, Engineering, Building Technology, Estate Management, Surveying, Economics, Finance, or a closely related field is required.

Relevant professional certifications in Facilities Management, Administration, Procurement, or Project Management are advantageous.

Seeking a minimum of five years of hands-on experience in Facilities Management, Administration, Corporate Services, or a comparable professional field.

Proven expertise in administering, sustaining, or supervising green energy initiatives, with a strong focus on solar power systems and inverter technologies.

Demonstrates a proven track record in overseeing operations across multiple sites while cultivating and maintaining strategic vendor partnerships.

Candidates with prior involvement in the financial services sector will be particularly well-suited for this opportunity.
