The Executive Assistant serves as the primary liaison and trusted gatekeeper, facilitating seamless communication between the Managing Director and key stakeholders, including internal teams, clients, partners, and external parties.

Achieving excellence in this position requires safeguarding the Managing Director’s schedule, ensuring all obligations are fulfilled, and maintaining seamless office operations without constant oversight.

Oversee a range of critical duties encompassing strategic planning, team leadership, and operational execution to ensure organizational objectives are met. Develop and implement policies, procedures, and best practices to enhance efficiency, productivity, and compliance across departments. Collaborate with senior management to align initiatives with long-term business goals while fostering a culture of accountability and innovation. Monitor key performance indicators, analyze trends, and provide data-driven recommendations to optimize workflows and resource allocation. Lead cross-functional teams by delegating tasks, mentoring staff, and resolving conflicts to maintain a high-performing and cohesive work environment.

Diary and schedule oversight involves comprehensive management of the Managing Director’s calendar, encompassing the arrangement of meetings, resolution of scheduling conflicts, allocation of necessary preparation and travel periods, and consistent provision of briefings to ensure punctual attendance.

Screen and manage all incoming communications, including calls, emails, and other correspondence, on behalf of the Managing Director, ensuring timely prioritization and responses. Additionally, prepare, edit, and refine letters, reports, and presentations to meet the highest professional standards.

The professional is tasked with managing meeting logistics, including organizing board meetings, leadership sessions, and client engagements. Responsibilities involve developing meeting agendas, distributing preparatory documents, recording detailed minutes, and ensuring all action items are followed through to completion.

Plan and coordinate domestic and international travel arrangements, including flights, accommodations, visas, and comprehensive itineraries; adeptly manage modifications to schedules with poise and efficiency when unexpected changes occur.

As the primary point of contact for clients, suppliers, and partners, you will act as a polished and discreet liaison, representing the Managing Director’s office with the utmost professionalism.

Monitor the Managing Director’s commitments, deadlines, and follow-up actions, ensuring all deliverables remain on track through proactive communication and coordination with relevant team members.

Handle expense reports, oversee confidential documentation, and preserve meticulously organized filing systems to ensure seamless access and compliance with record-keeping standards.

Coordinate the logistics for corporate events, visits, and hospitality initiatives, guaranteeing that all guests of the Managing Director (MD) are welcomed with professionalism and excellence.

Maintain strict confidentiality by exercising the utmost discretion when handling sensitive commercial, financial, and personnel information at all times.

Seeking a candidate with a minimum of three years of relevant experience, proficiency in industry-specific software, and the ability to work independently while collaborating effectively within a team. The ideal applicant must hold a bachelor’s or advanced degree in a related field and demonstrate strong analytical, problem-solving, and communication skills. Additional assets include prior leadership experience, knowledge of regulatory compliance, and adaptability to evolving project demands.

With a minimum of three years of demonstrated experience, candidates should have a proven track record in executive support roles, such as Executive Assistant, Personal Assistant, or comparable positions serving senior leadership teams.

Demonstrates outstanding organizational capabilities and proficient time-management skills, enabling the effective handling of multiple concurrent priorities.
