Job Summary:

The State Support Officer ensures the seamless provision of responsive, effective, and efficient administrative and support services to facilitate the project’s activities across the state. Reporting to the State Team Lead, the officer provides critical logistical and administrative assistance to the project’s workstreams. Additionally, the officer is responsible for upholding robust resource stewardship and fostering a dedication to excellence in service delivery throughout all administrative systems and procedures.

Oversee and execute key responsibilities to ensure operational efficiency and effectiveness. Implement strategies to maintain quality standards and meet organizational objectives. Collaborate with cross-functional teams to streamline processes and enhance productivity. Monitor performance metrics to identify areas for improvement and implement corrective actions as needed. Serve as a liaison between departments to facilitate seamless communication and alignment with company goals. Ensure adherence to company policies, industry regulations, and best practices in all operational activities.

Manage resources and activities to ensure projects are completed efficiently and to the highest standards while providing essential administrative support.

Support the alignment of administrative systems and processes with IPAs NHF standards.

Serve as a key point of contact for cross-functional collaboration, ensuring clear and consistent communication channels among relevant stakeholders.

Engage with key external stakeholders, including government officials, landlords, and service providers, to address assigned administrative matters.

Assist in maintaining full compliance for office supply procurement and asset management system operations.

Assist in the detection of potential safety hazards and ensure adherence to safety protocols to uphold a secure and protected workplace.

Ensure the seamless arrangement of travel, logistics, and associated services for employees, project collaborators, and guests.

Oversee the organization and execution of various event planning initiatives, such as training sessions and workshops.

Execute any additional responsibilities as directed by management.

Minimum qualifications include a Bachelor’s degree in a relevant field or equivalent professional experience. Candidates must possess at least three years of hands-on experience in a related industry. Proficiency in industry-standard software and tools is essential. Strong analytical and problem-solving skills are required. Excellent communication and teamwork abilities are necessary. The ability to work independently and manage multiple priorities is expected. Familiarity with project management methodologies is a plus.

A relevant bachelor’s degree or equivalent qualification is required for this role.

A minimum of five years of professional experience in office administration or a comparable role is required.

Proven track record in overseeing store operations and facilitating procurement processes is essential.

Proficient in IT with advanced expertise in Microsoft Office, particularly Excel and Word, and strong overall proficiency across the MS Office suite.

Proven ability to strategically plan, prioritize tasks effectively, and manage multiple responsibilities concurrently with precision and adaptability. Demonstrates strong organizational skills to handle competing demands while maintaining high levels of productivity and attention to detail.
