Personal Assistant to the CEO

About the Role

Acabado Product International is seeking a highly organized and proactive Personal Assistant to the CEO to provide high-level administrative and operational support.
The ideal candidate must be detail-oriented, possess excellent communication skills, and be capable of managing multiple responsibilities in a fast-paced environment.
This role requires a high level of professionalism, discretion, and the ability to anticipate the CEO’s needs while ensuring seamless daily operations.

Key Responsibilities
Administrative & Executive Support:

Manage the CEO’s calendar, schedule appointments, and coordinate meetings.
Handle correspondence, emails, and phone calls, ensuring timely responses.
Organize and maintain digital and physical files for easy retrieval.
Provide proofreading, editing, and formatting support for reports, documents, and presentations.
Assist with project management, tracking progress, and coordinating tasks with team members.

Marketing & Communication:

Manage email marketing campaigns, content creation, and social media accounts.
Design simple promotional graphics and marketing materials.
Maintain relationships with clients, stakeholders, and business partners.
Represent the CEO professionally in meetings, events, and client interactions.

Finance & Travel Management:

Assist with basic accounting tasks such as invoicing and expense tracking.
Coordinate domestic and international travel, including flights, accommodation, and itineraries.
Prepare reports and analyze data for business decision-making.

Customer Service & Client Relations:

Handle inquiries professionally and nurture client relationships.
Track client interactions and maintain accurate records in the database.
Resolve issues efficiently to maintain high customer satisfaction.

Event Planning & Recruitment Support:

Plan and execute meetings, corporate events, and special projects.
Assist in the recruitment process.

Qualifications & Requirements

Bachelor’s Degree in Business Administration, Communications, or a related field.
2 – 4 years of experience in an executive support, administrative, or personal assistant role.
Proficiency in Microsoft Office Suite, Google Workspace, and CRM tools.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Ability to maintain confidentiality and handle sensitive information.
Experience in marketing, content creation, or social media management is a plus.
