Job Summary
A Facilities Officer is responsible for managing and sustaining a company’s physical workspaces, guaranteeing they remain secure, operational, and supportive of employee productivity.
They oversee day-to-day building operations, liaise with vendors to coordinate necessary repairs, and maintain rigorous adherence to health and safety standards across all premises.
Oversee critical operational duties, ensuring adherence to established protocols and standards. Develop and implement strategies to enhance efficiency, productivity, and quality across assigned functions. Collaborate with cross-functional teams to align objectives and drive organizational growth. Monitor performance metrics to identify trends, address gaps, and implement corrective actions when necessary. Maintain compliance with regulatory requirements, industry best practices, and company policies throughout all processes. Foster a culture of accountability, innovation, and continuous improvement within the team or department.
Plan and implement both preventive and reactive maintenance schedules for plumbing, electrical, HVAC, and structural systems to ensure optimal operation and longevity.
Serve as the primary liaison for tenant work orders, promptly addressing complaints to maintain a positive and productive living environment for all occupants.
Source, negotiate with, and oversee the performance of external contractors, cleaners, security personnel, and utility providers to ensure optimal vendor management.
Regular property inspections are performed to ensure unwavering adherence to local safety codes, fire regulations, and emergency preparedness protocols.
Responsible for overseeing financial functions, including forecasting maintenance expenditures, monitoring operational costs, administering service charge budgets, and compiling periodic financial reports.
Track and report performance metrics to evaluate operational efficiency and strategic progress, ensuring alignment with organizational objectives. Develop and monitor KPIs to assess team or project success, identify trends, and drive data-informed decision-making. Collaborate with stakeholders to define measurable targets and establish benchmarks for continuous improvement across key business functions.
Maintaining consistent functionality of utilities, including power, water, and elevator systems, to ensure seamless operations without interruption.
Demonstrates a commitment to promptly addressing tenant concerns and maintenance requests to ensure adherence to established service level agreements (SLAs).
Operating within the approved facility maintenance budget is essential, ensuring all maintenance activities are executed without compromising quality standards.
Ensuring adherence to all regulations to achieve zero penalties while sustaining high safety standards.
