Administrative Officer

Job Summary

We are seeking a highly organized and proactive Administrative Officer to join our client, a new real estate company.
The successful candidate will play a critical role in establishing and managing administrative structures, policies, and procedures that will enable the company to operate efficiently and thrive in a competitive industry.

Job Description
Administrative Systems Development:

Design and implement administrative processes and policies to support daily operations.
Develop record-keeping, reporting, and communication frameworks for internal and external use.
Establish a centralized filing system for contracts, documents, and client records.

Office Management:

Set up and manage the physical office environment, including procurement of supplies, equipment, services, and payment of utilities.
Oversee facility maintenance, security, and vendor relationships.
Ensure a safe, clean, and efficient working environment for all staff.

Operational Support:

Coordinate and support meetings, events, and schedules for management and staff.
Supervise the preparation of correspondence, reports, and other official documents.
Ensure smooth onboarding for new employees by managing orientation and administrative setup.

Compliance and Legal:

Ensure compliance with company policies, local laws, and real estate industry regulations.
Liaise with legal advisors and government agencies to handle permits, licenses, and company documentation.

Team Coordination:

Act as a bridge between management and staff by fostering communication and collaboration.
Provide administrative support to various departments to ensure alignment with company goals.

Performance Monitoring:

Develop and manage tracking systems for office productivity and workflow efficiency.
Prepare and present reports on administrative activities and company performance indicators.

Qualifications and Skills

Bachelor’s Degree in Business Administration, Management, or a related field.
5 – 8years of experience in administrative roles, with a proven track record in setting up organizational structures.
Strong knowledge of office management systems, administrative best practices, and compliance requirements.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and familiarity with project management tools.
Exceptional organizational skills, attention to detail, and ability to work independently.
Experience in the real estate industry is a plus.
