Deep Water (DW) Management Assistant

Job Description
Main Functions:

Provide administrative and operational support to offshore production operations, ensuring smooth coordination between onshore and offshore teams.
Manage documentation and records, including reports, permits, schedules, and other critical operational documents.
Assist in preparing daily, weekly, and monthly reports for management, summarizing operational progress and highlighting key updates.
Coordinate meetings and communication between teams, including engineers, operators, and contractors, ensuring timely dissemination of critical information.
Monitor and track the progress of operational tasks and projects, updating relevant stakeholders on key milestones.
Assist in procurement and logistics planning, ensuring timely delivery of materials, equipment, and supplies to the offshore facility.
Maintain an organized database of personnel schedules, certifications, and compliance with training or safety requirements.
Ensure compliance with company policies, health, safety, and environmental regulations in administrative tasks.
Provide support for the coordination of travel and accommodation arrangements for offshore personnel.
Work closely with supervisors and managers to identify areas of improvement in administrative processes and recommend solutions.

Skills and Qualifications

Education: Bachelor’s Degree in Business Administration, Project Management, or a related field.
Experience: 5 – 7 years of experience in administrative or management support roles, preferably in the oil and gas or offshore industry.
Familiarity with production operations and offshore environments is an advantage.
Administrative Skills:
FPSO experience is a MUST.
Experience working effectively in a multicultural team
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
Ability to manage and organize large volumes of documents and records efficiently.

Communication Skills:

Excellent verbal and written communication skills for coordinating between teams and preparing reports.
Strong interpersonal skills for liaising with offshore personnel and management.

Organizational Skills:

Ability to multitask and prioritize activities in a dynamic and fast-paced offshore environment.
Strong attention to detail to ensure the accuracy of documents and reports.
Project Support Knowledge: Familiarity with project management concepts, such as scheduling, tracking progress, and managing deliverables.

Safety Awareness:

Basic understanding of offshore safety standards and protocols
